1. Purpose of This Privacy Policy
Your privacy matters.
This Privacy Policy explains how Emely Alcina collects, uses, stores, protects, and discloses personal information obtained through this website, online forms, inquiries, retreats, breathwork offerings, workshops, and related services. Kind Therapy Ottawa is Emely Alcina’s psychotherapy practice. Certain retreats, breathwork offerings, workshops, and other wellness experiences are provided separately from psychotherapy.
If you receive psychotherapy from Emely Alcina as a Registered Psychotherapist, your clinical records and personal health information are also subject to Ontario's health-information privacy requirements, professional standards, and separate psychotherapy consent and privacy practices.
This Privacy Policy does not replace those clinical requirements.
2. Information I May Collect
Depending on how you interact with the website or services, I may collect information such as:
Your name and contact information
Information you provide through an inquiry or registration form
Retreat readiness or participation information
Breathwork health-screening and safety information
Information about relevant accommodations, allergies, accessibility, or participation needs
Emergency contact information
Media, photography, testimonial, or marketing preferences
Mailing-list preferences
Information you voluntarily provide in emails or other communications
Technical information associated with use of the website, such as device, browser, cookie, and website-usage information
I aim to collect only information that is reasonably necessary for the purpose for which it is requested.
Please do not provide detailed medical, psychological, or psychotherapy information through general website contact or inquiry forms unless a form specifically asks for that information for an identified health or safety purpose.
3. Sensitive Health and Safety Information
Certain forms, including breathwork health screenings and some retreat-readiness forms, may request sensitive physical or mental-health information.
This information is collected only where reasonably necessary to:
Assess participation or readiness
Identify safety considerations
Determine whether an activity should be modified
Determine whether additional discussion or medical clearance may be appropriate
Respond to an emergency or significant safety concern
You will be asked to provide only information relevant to these purposes.
Sensitive health or safety information will not be used for advertising or marketing purposes.
Where express consent is required, you will be asked to provide it directly.
4. How I Use Personal Information
Personal information may be used to:
Respond to questions or inquiries
Communicate about services, retreats, workshops, or events you have expressed interest in
Assess readiness or suitability for a retreat or wellness experience
Support safe participation in breathwork or other experiential practices
Administer registrations, forms, consents, and participant communications
Coordinate accommodations or reasonable participation needs
Contact an emergency contact or obtain appropriate assistance when reasonably necessary
Maintain records relating to agreements, waivers, consent, or participation
Send newsletters or promotional communications where you have consented to receive them
Use photographs, videos, or testimonials where you have specifically consented to such use
Maintain the security and functionality of the website
Meet legal, regulatory, contractual, professional, insurance, or risk-management obligations
Personal information will not be used for an unrelated purpose without appropriate consent unless the use is otherwise permitted or required by law.

Withdrawal of consent may affect my ability to provide a service where the information is reasonably necessary to provide that service safely or administer it appropriately.
6. Who May Have Access to Your Information
Access to personal information is limited to people who reasonably require it for an identified purpose.
Depending on the service, this may include:

A co-facilitator where access is reasonably necessary for participant readiness, safety, or administration and the relevant form identifies or permits that access
Service providers that process information on my behalf
Travel or booking professionals where information is necessary to administer a retreat booking
Emergency responders, healthcare providers, insurers, or an emergency contact where reasonably necessary in an emergency
Legal, regulatory, insurance, or professional advisors where reasonably necessary or required
Only information reasonably necessary for the particular purpose will be shared.
I do not sell personal information.
7. Wix and Online Forms
This website and certain online forms are hosted through Wix. Wix may store or process personal information outside Canada, including in the United States and Ireland, and may use service providers in other jurisdictions. Information processed outside Canada may be subject to the laws of those jurisdictions, including lawful access by courts, law-enforcement agencies, or government authorities.
Where sensitive health information is collected through Wix, enhanced health-information protection features are enabled as an additional technical safeguard. These safeguards do not replace my obligations under applicable Canadian privacy law.
I remain responsible for selecting appropriate service providers and for taking reasonable steps to protect personal information within my control.
8. Other Third-Party Services
Other third-party providers may be used where necessary to provide or administer a service.
For example, retreat travel booking and payment may be administered by a travel agency rather than through this website. Information provided directly to that provider will also be subject to that provider's privacy practices.
If you voluntarily participate in a group communication platform, such as a retreat WhatsApp group, information you choose to share may be visible to other members of the group and will also be handled according to the platform provider's privacy practices.
Please avoid sharing sensitive health, psychotherapy, or other highly private information in group communication channels.
Links to external websites or services are provided for convenience. I am not responsible for the privacy practices of independent third-party websites or platforms.
9. Psychotherapy and Clinical Records
Psychotherapy services provided by Emely Alcina in her capacity as a Registered Psychotherapist are separate from stand-alone retreats, breathwork, workshops, and other wellness services.
Personal health information collected in connection with psychotherapy is handled in accordance with applicable Ontario health-information privacy requirements, professional obligations, and clinical record-keeping standards.
Psychotherapy clients may receive additional consent, privacy, technology, or record-keeping information that applies specifically to the clinical relationship.
Information submitted through a general website, retreat, or wellness form does not by itself create a therapist-client relationship or become a psychotherapy clinical record. Psychotherapy clinical records are maintained separately in accordance with applicable Ontario privacy and CRPO record-keeping requirements.
10. Safeguards
Reasonable administrative, technical, and organizational safeguards are used based on the sensitivity of the information involved.
These may include:
Restricting access to information
Password and account protections
Multi-factor or two-step authentication
Enhanced health-information protections for forms collecting sensitive information
Limiting information contained in email notifications
Using service providers with contractual and security safeguards
Limiting collection and disclosure to what is reasonably necessary
No electronic system or method of communication can be guaranteed to be completely secure.
11. Email and Electronic Communication
Email may be used for general communication, inquiries, scheduling, administrative information, and other appropriate purposes.
Email is not always an appropriate method for communicating highly sensitive health or psychotherapy information.
Please avoid sending detailed health or clinical information by ordinary email unless specifically requested and an appropriate process has been established.
12. Emergency Contact Information
Where you provide the name and contact information of another person as an emergency contact, that information will be used only for reasonably necessary safety or emergency purposes.
You should have permission to provide that person's contact information for this purpose.
13. Media, Photographs, Video, and Testimonials
Identifiable photographs, videos, testimonials, personal stories, or similar materials will not be used for promotional purposes unless appropriate consent has been obtained.
Where media consent is optional, declining consent will not affect your ability to participate in the underlying service or experience.
Where permitted, consent for future promotional use may be withdrawn by contacting me. Reasonable steps will then be taken to discontinue future use within my control.
Withdrawal may not be able to remove material that has already been printed, distributed, published, reposted, or shared by third parties.
14. Marketing and Mailing Lists
You will receive newsletters, retreat updates, or other promotional emails only where you have consented or where otherwise permitted by applicable law.
You may unsubscribe from promotional communications at any time using the unsubscribe option provided or by contacting me.
Administrative communications that are reasonably necessary for a service, registration, retreat, agreement, or existing relationship are separate from optional marketing communications.
15. Cookies and Website Technology
This website may use cookies and similar technologies that are necessary for website functionality, security, preferences, analytics, or other website features.
Where required, you may be given options to manage non-essential cookies through the website's cookie settings or banner.
You can also control certain cookies through your browser settings. Disabling some cookies may affect website functionality.
16. Retention and Destruction
Personal information is retained only for as long as reasonably necessary for the purposes for which it was collected and to satisfy applicable legal, regulatory, professional, contractual, insurance, limitation-period, safety, or record-keeping requirements. Retention periods may therefore differ depending on the type of record.
When information is no longer required, reasonable steps will be taken to securely delete, destroy, or anonymize it. Psychotherapy clinical records are retained according to the requirements applicable to Registered Psychotherapists in Ontario.
17. Accuracy and Updates
I take reasonable steps to ensure personal information used for important decisions is accurate and current.
You are encouraged to advise me if relevant information changes.
For health or safety screening used for repeat participation, you may be asked to confirm that previously provided information remains current or to complete a new screening.
18. Access and Correction
You may request access to personal information I hold about you or ask that inaccurate information be corrected, subject to exceptions permitted or required by law.
I may need to verify your identity before responding to a request.
Requests concerning psychotherapy clinical records may be subject to additional requirements under Ontario health-information privacy law and professional standards.
19. Privacy or Security Incidents
If personal information is lost, accessed, used, or disclosed without authorization, I will take reasonable steps to contain the incident, assess its impact, document the incident as required, and notify affected individuals or privacy regulators where required by applicable law.
